Job Overview and Responsibilities

Reporting to the Vice President (VP) of Development, the Development Operations Manager takes responsibility for the management of data across systems within the LA’s BEST Development department. This individual will serve as the primary database administrator in the organization, managing all constituent records stored in Salesforce. The Development Operations Manager also oversees data captured from the LA’s BEST website and from third-party apps. This position is responsible for ensuring the integrity of contacts, revenue, and other data by analyzing information and providing regular reports to executive leadership. This role is suitable for a problem solver who can leverage the organization’s database and systems to best meet the needs of the Development department and the organization through insightful recommendations and implementation of best practices. Core responsibilities may include:

Database Administration & Configuration (approximately 30%):

  • Leading the organization’s database administration by configuring objects, fields, flows and integrations to support Customer Relationship Management (CRM) strategy across departments.
  • Configuring objects, fields, assets (ex. Form Handlers) and integrations to support marketing, monitor storage, and maintain lead/prospect lists.
  • Serving as primary administrator and point of contact for all third-party apps, which may include, but are not limited to: Conga, Click & Pledge, OneCause, and Pardot; Managing translations, maintaining apps, and coordinating with developers as needed.
  • Supporting the Communications department in managing and optimizing campaigns for donor communications, ensuring timely and accurate distribution of external notifications and updates to stakeholders, maintaining high standards of communication and engagement.

Data Management & Integrity (approximately 25%):

  • Managing all data with tact and discretion, recognizing the confidential nature of LA’s BEST business; Ensuring all donor and stakeholder data is regularly updated and accurately maintained in the database.
  • Executing data entry and gift processing, including ongoing maintenance and integrity of the Salesforce database, ensuring the data is accurate, current and consistent across systems; Developing and enforcing data quality procedures (ex. naming conventions).
  • Generating data and report requests; Segmenting and pulling CRM donor lists for mailings, invitations, and other purposes; Confirming matching donation requests; Ensuring timely delivery of donor acknowledgements.
  • Developing and maintaining dashboards to provide real-time insights and analytics, facilitating data-driven decision-making and performance tracking for the Development department.

Automation & Engagement (approximately 20%):

  • Advising and building automated engagement plans (NPSP & Pardot), email journeys, rules, and other automations to support multi-touch outreach and moves management.
  • Monitoring and ensuring data connectors are operating efficiently, facilitating seamless integration and data flow between systems.
  • Providing guidance on systems-related projects or projects pertaining to CRM strategy to collect and track key data points.
  • Overseeing the creation, coordination and analysis of donor/supporter data to provide recommendations and support development goals.
  • Remaining informed of features relevant to fundraising and marketing efforts, providing recommendations, and implementing tools that will optimize the use of Salesforce & Pardot.
  • Troubleshooting and resolving system issues promptly, ensuring minimal disruption to development operations and maintaining the integrity of data and processes.

Training & Support (approximately 15%):

  • Training LA’s BEST staff on the utilization of database software to encourage a culture of systems learning and compliance with new protocols and best practices, troubleshooting issues as needed.
  • Supporting the entirety of the organization through major system updates and data migrations. Ensure seamless transition for staff by defining transition strategy, gathering input from users, prioritizing features and rigorous testing.
  • Leading the project management across systems initiatives from start to finish, including providing updates to stakeholders to ensure they are adequately informed throughout the process.
  • Creating and maintaining developer and training files and other internal procedural documents.

Administrative Support & Collaboration (approximately 10%):

  • Managing scheduling and calendar coordination for the Development team, including setting up meetings, coordinating with internal and external stakeholders, and resolving scheduling conflicts as needed.
  • Facilitating departmental meetings by taking detailed meeting minutes, documenting discussions and decisions, and tracking and following up on action items to ensure timely completion.
  • Supporting the Finance department by providing reports and reconciling information.
  • Collaborating with other LA’s BEST staff on key initiatives or special projects as assigned.

Core Competencies

  • Ability to maintain regular and consistent attendance.
  • Proficiency in Salesforce administration, including configuration of objects, fields, flows, and integrations to support CRM strategy.
  • Experience in managing third-party apps such as Conga, Experian, Click & Pledge, and OneCause, including maintenance and coordination with developers.
  • Ability to manage all data with tact and discretion, ensuring confidentiality of business information.
  • Skills in executing data entry and gift processing, maintaining database integrity, and enforcing data quality procedures.
  • Knowledge of building automated engagement plans, email journeys, and other automations using NPSP (Nonprofit Success Pack) and Pardot.
  • Experience in providing guidance on systems-related projects and analyzing donor/supporter data to provide recommendations for development goals.
  • Ability to train staff on database software utilization, encouraging a culture of systems learning and compliance with protocols and best practices.
  • Skills in providing support during major system updates and data migrations, including defining transition strategies and leading project management initiatives.
  • Experience in providing reports and reconciling information to support the Finance department.
  • Collaboration skills to work effectively with other departments on key initiatives and special projects as assigned.
  • Ability to analyze data and generate reports to support decision-making and development goals.
  • Experience in segmenting and pulling CRM donor lists for various purposes such as mailings and invitations.
  • Proficiency in leading projects across systems initiatives from start to finish, providing updates to stakeholders and ensuring seamless transitions for staff.

Qualifications and Experience Requirements

  • Bachelor’s degree in information technology, computer science, business administration, or a related field is required.
  • 5-7 years of experience with Salesforce database administration is required, preferably within a nonprofit organization or fundraising environment. Prior implementation experience is preferred. Previous experience working with the Salesforce Nonprofit Success Pack (NPSP) and understanding of best practices and functionality within Salesforce for nonprofits is also preferred.
  • Experience in Salesforce-based data analysis to determine trends and provide recommendations to executive leadership and external stakeholders by building visually compelling dashboards.
  • Strong understanding of email marketing tools is preferred (i.e. Salesforce Marketing Cloud, Pardot).
  • Strong project management skills, with the ability to lead initiatives from conception to implementation, ensuring timely delivery and stakeholder satisfaction.
  • Proven ability to design and implement new processes and facilitate user adoption.
  • Excellent analytical and problem-solving abilities, with a keen attention to detail and accuracy in data management.
  • Effective communication skills, both verbal and written, with the ability to convey technical information to non-technical stakeholders.
  • Advanced skills in Microsoft Excel, with experience in data analysis, reporting, and generating insights from large datasets.
  • Familiarity with nonprofit fundraising principles and best practices, including moves management and donor stewardship.
  • Ability to work collaboratively in a team environment, while also being self-motivated and able to work independently.
  • Commitment to confidentiality and handling sensitive information with discretion and professionalism.
  • Experience in training and mentoring staff on database utilization and best practices.
  • Flexibility and adaptability to support organizational needs and navigate changes in systems or processes.

Compensation

$75,000 – $85,000; commensurate with experience.

Work Location

Currently, there is a hybrid work environment with two days per week required at the office in downtown Los Angeles. Occasional evening and weekend work may be required throughout the year. Candidates must also be able to travel to school sites and meetings/events within LA County on a semi-regular basis and have access to reliable and timely transportation.
